Step 2: create technical specifications

The purchase price is only one component of cost. Hospitals should consider consumables, reagents, software licences, calibration, preventive maintenance, replacement parts, service contracts, staff training, installation and expected useful life.
A cheaper analyser with expensive proprietary reagents may cost more over five years than a higher-priced system with more sustainable operating costs. The same principle applies to imaging, laboratory, rehabilitation and surgical equipment.
Step 6: check infrastructure compatibility
Equipment should fit the environment where it will be used. Confirm voltage and frequency, plug standards, water quality, room temperature requirements, network connectivity, oxygen or medical gas requirements, radiation protection needs and physical dimensions.
For complex installations, the buyer may need a site-readiness checklist before shipping. Discovering after delivery that a room requires major electrical or structural modification can delay commissioning significantly.
Steps 7–9: training, maintenance and logistics
Equipment is only useful when staff can operate it safely. Procurement plans should specify initial user training, biomedical or technical training where needed, training materials and whether refresher training is available.
Ask how preventive maintenance will be performed, whether spare parts are stocked, expected response times, remote-support options and whether local technical partners are available. Packing, insurance, freight, customs, delivery to site and installation should all be defined in the commercial offer before payment.
Step 10: structure the quotation so offers can be compared
A useful quotation should separate the equipment price, accessories, consumables, installation, training, freight, warranty and optional service. This makes it easier for the buyer to compare offers on equal terms.
